Preamble & Agreement to Terms
These Terms of Service (“Terms” or “Agreement”) constitute a legally binding contract between Aforden (“Aforden,” “we,” “us,” or “our”) and the individual or legal entity accessing, subscribing to, or utilizing our field service operations platform, dispatch software, APIs, technician interfaces, and associated web properties (collectively, the “Service” or “Platform”).
By creating an account, registering an organizational workspace, issuing an API credential, or using any part of the Service, you (“Customer,” “Workspace Owner,” or “you”) agree to be bound by these Terms. If you are entering into this Agreement on behalf of a company, organization, or other legal entity, you represent and warrant that you have full legal authority to bind that entity to these Terms. If you do not agree to these Terms, you must not access, register for, or use the Service.
Section 1: Platform Scope & Permitted Use
1.1 The Service: Aforden provides a multi-tenant, cloud-based software-as-a-service platform designed for field service management, deterministic dispatch scheduling, work order lifecycles, technician time tracking, invoice generation, and commercial integrations.
1.2 Pre-Launch Operational Status: You acknowledge and agree that the Platform is in an active commercial rollout and operational development phase. While core capabilities—including dispatch calendaring, billing seed models, and RESTful API endpoints—are functional, platform features, schema models, and integrations remain subject to continuous technical enhancement and refinement.
1.3 Limited License Grant: Subject to your ongoing compliance with this Agreement and timely payment of applicable subscription fees, Aforden grants you a limited, revocable, non-exclusive, non-transferable, non-sublicensable right and license to access and use the Service solely for your internal business operations during the term of your active subscription.
Section 2: Workspace Registration, Security, & Role Boundaries
2.1 Workspace Accounts: Access to the Service requires the creation of an isolated organization workspace. You agree to provide accurate, current, and complete organization and contact information during registration and to keep this information up to date.
2.2 User Accounts & Roles: Workspace Owners may provision user accounts for employees, contractors, dispatchers, and field technicians (“Authorized Users”). Access is governed by role-based access control (RBAC) corresponding to the Platform’s defined membership roles: Owner (OWNER), Administrator (ADMIN), Manager (MANAGER), Dispatcher (DISPATCHER), Technician (TECHNICIAN), and Accountant (ACCOUNTANT). Customer is directly responsible for managing role assignments and ensuring all Authorized Users comply with this Agreement.
2.3 Credential Hygiene & API Security: Customer is solely responsible for maintaining the confidentiality and security of workspace passwords, session tokens, and provisioned public API keys. Any action taken under Customer’s workspace credentials or API keys will be deemed taken by Customer. You agree to notify Aforden immediately at contact@aformix.com upon discovering any unauthorized account access, credential compromise, or security breach.
Section 3: Subscription Plans, Fees, & Seat Quotas
3.1 Subscription Tiers & Operational Quotas: The Service is offered under tiered commercial subscription plans as detailed on our published pricing schedule at /pricing. Each subscription tier includes a specific allotment of base user seats, operational ceilings, and feature entitlements:
- Starter Plan ($39/month billed monthly, or $372/year billed annually):
- Base User Capacity: Includes one (1) base user seat.
- Technician Ceiling: Hard system ceiling of up to three (3) active technician profiles on the dispatch board (
MAX_TECHNICIANS = 3). - Operational Quotas: Up to 100 work orders created per calendar month (
MAX_WORK_ORDERS_PER_MONTH = 100), up to 100 active customer service locations, and 1,000 MB (1 GB) attachment evidence storage. - Feature Entitlements: Standard dispatch calendaring, mobile technician view, and community email support. Does not include SMS notifications, advanced reporting, custom invoice branding, multi-warehouse inventory, automations, or developer REST API access.
- Growth Plan ($99/month billed monthly, or $948/year billed annually):
- Base User Capacity: Includes five (5) base user seats.
- Technician Ceiling: Hard system ceiling of up to fifteen (15) active technician profiles on the dispatch board (
MAX_TECHNICIANS = 15). - Operational Quotas: Up to 500 work orders created per calendar month (
MAX_WORK_ORDERS_PER_MONTH = 500), up to 1,000 active customer service locations, and 10,000 MB (10 GB) attachment evidence storage. - Feature Entitlements: Includes all Starter capabilities plus advanced business reporting, custom PDF and invoice branding, automated SMS customer notifications, and automated status workflow pipelines. Does not include multi-warehouse inventory or developer REST API access.
- Scale Plan ($299/month billed monthly, or $2,868/year billed annually):
- Base User Capacity: Includes twenty (20) base user seats.
- Technician Ceiling: Unlimited active technician profiles (
MAX_TECHNICIANS = UNLIMITED). - Operational Quotas: Unlimited work orders per calendar month (
MAX_WORK_ORDERS_PER_MONTH = UNLIMITED), unlimited customer service locations, and unlimited attachment evidence storage. - Feature Entitlements: Includes all Growth capabilities plus multi-warehouse/truck inventory tracking, dedicated developer REST API keys with custom rate limits, webhook subscriptions, and priority engineering support.
3.2 Additional User Seats & Provisioning:
- Workspaces requiring team capacity beyond their plan’s included base user allotment may provision additional user seats at the following unbundled rates:
- Starter Plan: $19 per additional user seat / month (or $180 / seat / year on annual billing commitments). Total technician profiles remain subject to the Starter maximum ceiling of three (3) technicians.
- Growth Plan: $19 per additional user seat / month (or $180 / seat / year on annual billing commitments). Total technician profiles remain subject to the Growth maximum ceiling of fifteen (15) technicians.
- Scale Plan: $15 per additional user seat / month (or $144 / seat / year on annual billing commitments). Technician capacity is unlimited.
- Customer agrees that provisioning additional seats or exceeding published monthly operational quotas will trigger automated recurring billing adjustments reflecting the adjusted seat count for the remainder of the billing cycle.
3.3 Billing Cycles & Payment Processing: Subscriptions are billed in advance on a recurring monthly or annual billing cycle. Annual commitments receive an automatic billing discount of approximately 20% relative to the month-to-month billing rate as published on our pricing schedule. Payments are processed via authorized third-party billing providers. By providing payment details, you authorize Aforden (or its payment processors) to charge all accrued subscription fees, additional seat charges, and applicable transaction taxes.
3.4 Taxes: Subscription fees do not include local, state, federal, or international sales, value-added, or withholding taxes (“Taxes”). Customer is responsible for all applicable Taxes associated with purchases, excluding taxes based on Aforden’s net income.
3.5 Fee Adjustments: Aforden reserves the right to modify subscription pricing upon at least thirty (30) days’ written notice (email to the account holder is sufficient) before any material change to pricing takes effect for existing customers. Continued use of the Service following the effective date of a price change constitutes acceptance of the new fees.
Section 4: Customer Data, Tenant Isolation, & Operational Telemetry
4.1 Customer Data Ownership: As between Customer and Aforden, Customer retains all right, title, and interest (including all intellectual property rights) in and to all data, records, work orders, customer lists, invoices, parts inventory, and documentation submitted or stored within Customer’s workspace (“Customer Data”).
4.2 Data License to Aforden: Customer grants Aforden a worldwide, non-exclusive, royalty-free license to host, copy, process, transmit, and display Customer Data solely to the extent necessary to provide, maintain, diagnose, and improve the Service in accordance with this Agreement and our Privacy Policy.
4.3 Logical Tenant Isolation: Aforden employs logical data isolation at the application layer, scoping Customer Data, work order records, customer CRM profiles, inventory states, and financial invoices to Customer’s designated workspace identifier (workspaceId). Aforden will not intentionally disclose or provide access to Customer Data to unrelated tenant workspaces, except as expressly authorized by Customer or as required by applicable law.
4.4 Operational Telemetry & System Diagnostics: Aforden collects and processes system operational telemetry, including API endpoint request metadata (such as HTTP methods, status codes, execution durations, and cryptographically hashed IP addresses), error stack traces, and aggregated platform performance metrics. Aforden uses this operational data to maintain system stability, enforce published rate limits, diagnose platform anomalies, and improve infrastructure performance.
Section 5: Acceptable Use & API Integration Policies
5.1 Prohibited Conduct: Customer and its Authorized Users shall not:
- Reverse engineer, decompile, disassemble, or derive source code from the Platform, client bundles, or dispatch engines.
- Probe, scan, or test the vulnerability of Platform endpoints without prior written authorization from Aforden.
- Circumvent, tamper with, or manipulate rate limits, quota counters, or feature gating enforcements.
- Inject malicious payloads, viruses, worms, or automated bots into public API routes, webhook listeners, or authentication handlers.
- Use the Service to transmit unsolicited commercial communications (spam) or violate applicable telecommunications laws (including TCPA / 10DLC compliance).
- Resell, lease, sublicense, or distribute the Service as a standalone white-labeled offering without an authorized commercial reseller agreement.
5.2 API Integration Hygiene: Customers utilizing public API keys agree to safeguard secret credentials, honor published HTTP rate limits, and implement standard exponential backoff retry algorithms. Aforden reserves the right to throttle or temporarily suspend API keys that generate abusive traffic patterns or threaten infrastructure stability.
Section 6: Service Availability, Maintenance, & Evolution
6.1 Commercially Reasonable Availability: Aforden will use commercially reasonable efforts to ensure the Service is available to Customer. However, Customer expressly acknowledges that Aforden does not guarantee uninterrupted, error-free, or continuous platform availability.
6.2 No Formal Uptime SLA: During this pre-launch rollout phase, the Platform is provided without a formal Service Level Agreement (SLA) or guaranteed response-time commitment. Scheduled maintenance windows, infrastructure updates, and critical security patches may result in planned, temporary downtime.
6.3 Platform Evolution: Aforden continuously enhances the Service and may add, deprecate, or modify specific endpoints, features, or UI components. Where material breaking changes occur to public APIs or core capabilities, Aforden will make commercially reasonable efforts to notify Workspace Owners in advance.
Section 9: Term, Suspension, & Termination
9.1 Term: This Agreement commences on the date Customer first registers a workspace or accesses the Service and continues until all subscriptions hereunder have expired or been terminated.
9.2 Termination for Convenience & Refund Policy: Workspace Owners may cancel their subscription at any time through the workspace billing dashboard. Cancellation takes effect at the end of the current paid billing cycle. All fees are non-refundable, and no refunds or credits are provided for partial billing periods.
9.3 Suspension & Termination for Cause: Aforden may immediately suspend or terminate Customer’s workspace access, in whole or in part, without prior notice if:
- Customer breaches Section 5 (Acceptable Use) or Section 2.3 (Credential Hygiene).
- Subscription fees remain past due following thirty (30) days’ written notification; upon written notice of a material breach, the breaching party has 30 days to cure before the non-breaching party may suspend or terminate the agreement.
- Aforden reasonably determines that Customer’s account activities pose an immediate security or operational risk to the Platform or other tenants.
9.4 Data Retrieval Upon Termination: Upon termination or expiration of this Agreement, Customer’s access to the Service will terminate. Aforden will retain Customer Data for a period of thirty (30) days following termination, during which Customer may request an export of workspace records by contacting contact@aformix.com. Customer data will be deleted within 30 days of account closure or termination, except where retention is required by law or for legitimate backup/audit purposes.
Section 10: Governing Law, Dispute Resolution, & Communications
10.1 Governing Law: This Agreement and any dispute, controversy, or claim arising out of or related to this Agreement or the Service shall be governed by and construed in accordance with the laws of , without giving effect to any choice or conflict of law principles that would require the application of the laws of any other jurisdiction.
10.2 Dispute Resolution & Forum: Any dispute, controversy, or claim arising under or relating to this Agreement that cannot be resolved amicably through good-faith direct discussions shall be submitted to binding arbitration or adjudicated exclusively in the courts of . Both parties consent to personal jurisdiction and venue therein.
10.3 Communications Notice & Legal Contact: All legal notices, inquiries regarding this Agreement, or requests for data export must be delivered electronically to Aforden’s verified contact channel:

Formal corporate postal address and in-person service of process are explicitly deferred in this release pending corporate milestones. Notices sent to contact@aformix.com shall be deemed received within of confirmed email transmission.
10.4 Severability & Entire Agreement: If any provision of these Terms is found to be invalid, illegal, or unenforceable, the remaining provisions shall continue in full force and effect. This Agreement constitutes the complete and exclusive agreement between the parties with respect to the Service and supersedes all prior agreements, representations, and understandings.
